This Privacy Policy explains how RefEval collects, uses, shares, and protects information when you use our website, applications, and related services.
1. Scope
RefEval provides officiating organizations—such as associations, conferences, and leagues—with tools for game assignments, reports, evaluations, Film Study, member communications, and performance insights.
Your organization generally decides what officiating data is entered into its workspace, who may access it, and how long it is needed. Questions about records in an organization’s workspace should usually be directed to that organization’s supervisor. This policy describes RefEval’s practices for operating the service.
2. Information we collect
Account and membership information
This may include your name, email address, authentication information, organization memberships, roles, invitation status, and account preferences.
Officiating and organization information
This may include organization settings and logos; seasons; games; crew and evaluator assignments; scores; fouls and no-calls; report notes; evaluation grades and comments; announcements; notification activity; Film Study entries; and performance statistics derived from those records.
Guest chain-crew information
When a guest uses a game code, we process the code, temporary session information, and the game information the guest submits. Guest activity may be associated with the temporary guest session used to make the change.
Technical and usage information
We may receive device and browser details, IP address, request identifiers, timestamps, pages or features used, and diagnostic or security events. We also process communications you send to us and delivery information for service emails.
3. How we use information
We use information to:
- Provide, maintain, and improve RefEval;
- Authenticate users and enforce organization, role, and game access controls;
- Support assignments, reports, evaluations, Film Study, analytics, announcements, and notifications;
- Protect the service, prevent abuse, troubleshoot problems, and maintain attributable audit history;
- Communicate about invitations, account recovery, service activity, support, and policy updates; and
- Comply with law and enforce applicable agreements.
6. Data retention
We retain information for as long as needed to provide the service, meet an organization’s operational needs, preserve authorized historical attribution and audit records, resolve disputes, maintain security, and comply with legal obligations. Retention depends on the record type and the organization’s relationship with RefEval. Deleted information may remain for a limited time in backups or restricted audit records before it is removed or de-identified.
7. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or receive a copy of your personal information, or to object to certain processing. These rights may be limited by law and by the need to preserve accurate officiating, security, and audit records.
Start by contacting your organization’s supervisor for information held in its workspace. You may also contact RefEval using the details below. We may need to verify your identity and coordinate with your organization before completing a request. You can manage browser cookies through your browser and service-email preferences through the controls made available by your organization.
8. Security
RefEval uses administrative, technical, and organizational safeguards designed to protect information. These include access controls, tenant isolation, secure sessions, encrypted connections, restricted service credentials, logging safeguards, and testing of authorization boundaries. No system can guarantee absolute security, so please protect your credentials and promptly report suspected unauthorized access.
9. Children’s privacy
RefEval is intended for officiating organizations and their authorized participants, not for children under 13. We do not knowingly collect personal information directly from children under 13. Contact us if you believe a child has provided personal information to RefEval without appropriate authorization.
10. Changes to this policy
We may update this policy as RefEval or legal requirements change. We will post the revised policy here, update the effective date, and provide additional notice when required.
